Bar|Scan® Optional Modules and Features

Available Modules

Network Upgrade | Web Enabled Smart Client | Multiple Database Upgrade | Import/Export Module | Accounting Module | Work Order Module | User Definable Fields | Catalog Imaging Feature

Network Upgrade (unlimited users)

In addition to the single user version of the system, Bar|Scan® can also operate over a local or wide area network with unlimited users.

Web Enabled Smart Client

Remote users can access assets using Microsoft® ClickOnce technology.  Remote users can browse, sort, add, edit or print assets. Filters can be assigned by user password so that only assets in their area of responsibility are accessible.

Multiple Database Upgrade

This upgrade allows you to create an unlimited number of separate company databases.  Each company database can optionally share tables such as locations with another company database.  Reports, catalogs and other data elements can easily be transferred between companies, if desired.  Individual company databases can be synchronized or rolled-up into a master company database to provide consolidated access. return to top

Import/Export Module

Bar|Scan® is designed to easily share information with other systems.  This module can provide three important features.  The Export feature allows you to export any combination of fields to other systems such as your PC or mainframe-based fixed asset accounting system.  The Import feature allows you to import information into Bar|Scan® from another system either as a method to initially populate the asset database, or as an ongoing process for obtaining new information such as pricing information from your purchasing system.

With the Activity Log feature, you can set up and use an Activity Log File which records events as they occur.  These events than can serve as an audit trail, or, if desired can also be exported to your fixed asset accounting system.  The Import/Export Module supports many formats including dBase, Microsoft Excel, SIF, and Comma Delimited ASCII. return to top

Accounting Module

With this option, receiving (e.g. purchase order number), purchase, lease, and depreciation information can be captured for each asset.

Work Order Module

Each Work Order has a unique number that an be assigned by the user or automatically generated by the system.  The user can enter the name and/or department of the person placing the order, the name of the crew assigned the task, pickup and delivery to locations, and areas for Notes/Instructions and Follow-up comments to be added at a later date.

In the Standard Mode, the Work Order Module allows you to place orders for various assets either specifically, by asset number, or generally, by catalog description.  As the work order is filled, each asset is scanned with its related Work Order Number using the bar code readers.  When this information is uploaded to Bar|Scan® and moved to the asset file, it updates the Work Order status identifying what portion, if any, is still incomplete.

The Shopping Mode form of the Work Order Module will allow you to automatically deduct requests from inventory and produce receipts or pick slips that can also serve as packing lists.  This particular enhancement is perfectly suited for distributing centralized inventory such as office and janitorial supplies. The UPC feature allows the user to use a fixed station scanner to scan existing UPC codes which are then translated into Bar|Scan® catalog numbers to identify product.

The new Service Order portion of the Work Order Module will allow users to schedule and perform preventative maintenance of assets in their facilities.  Scheduled Service Orders are entered into a separate table that feed the Work Order Table according to the service interval.
When maintenance people are dispatched to a location a list of assets to be serviced is downloaded to the reader.  When the asset’s bar code is scanned, if a work order exists for that asset, the reader will ask a set of maintenance questions, prompting them through servicing. return to top

User Definable Fields

In order to accommodate fields you may require, this module will allow you to create additional user definable fields on a separate screen in the asset, location, organization, catalog and work order tables.  You will be able to choose from a selection of field types and sizes, and to specify the name of the field on the screen and in reports.

In addition to creating new fields, this module will allow you to change the names and sizes of non-key fields.  Key field sizes can be changed in a separate area. return to top

Catalog Imaging Feature

In addition to the ability to affix color photographs to the catalog sheets printed by the system, color digitized images can be linked to the Bar|Scan® catalog or asset to allow multiple users on the network access to make visual identification by simply clicking the mouse on a view button at either the catalog or asset query screen. return to top
